In partnership with Westown Shongweni, Coffee Creative brought Carols by Candlelight to life at the beautiful Westown Bowl, creating an evening designed to celebrate community, connection and the spirit of the season.

But this event became about more than festive atmosphere. It became a testament to the power of preparation, communication and the ability to pivot when it matters most.

The Vision

The brief was clear: create a free, family-friendly experience that would welcome the broader community into a shared festive moment.

From the Makers Market to children’s activities, festive décor and the much-anticipated tree lighting ceremony, every detail was curated to create warmth, joy and accessibility. The goal was simple — deliver an experience that felt inclusive, elevated and memorable.

And as the day unfolded, everything was going exactly to plan.

Until it wasn’t.

A plan ready to pivot.

When Plan A Becomes Plan B

What began as a perfectly sunny afternoon quickly shifted as the weather turned. With approximately 10,000 guests arriving and festivities underway, it became clear that the original outdoor format would need to change.

This is where preparation meets performance.

Because behind every seamless event is a contingency plan and a team empowered to execute it.

Within a short window, the Coffee Creative team mobilised. Clear communication flowed between crew, suppliers and venue partners. Guests were safely and efficiently redirected to an alternative indoor location. Production elements were repositioned. The full Photo Booth installation was relocated. Candles were relit. The tree lighting remained part of the experience.

The format shifted but the celebration continued.
